Hosting an Intern,
Step by Step.
Thank you for hosting a University of Trento intern. Everything runs on the University’s Esse3 – Stage e Lavoro platform, and each step unlocks the next. The setup takes time — so the one rule that matters is: start early.
Three things to know first
Get these right and the rest is just following the steps.

No Agreement without registration; no Training Project without an active Agreement. Do them in order, and don’t leave them to the last minute.
Budget time for the slow parts.
Registration is checked within 5 working days. The Agreement takes up to 10 working days, plus 4–5 more once it’s signed. The Training Project must be entered at least 15 days before the start.
The internship can’t start until UniTrento authorizes it.
Whatever start date is written on the project, the intern may only begin once the University gives the go-ahead. Plan the start date with a buffer.

Who’s who: the company roles
Each contact has personal details (first and last name as on their ID document, plus date and place of birth) and a role in the internship. One person can hold more than one role.
Company contact
(Referente aziendale) During registration, uploads the company data and registers/authenticates, getting the login to the company’s reserved area. Responsible for the data on the platform, and the only person authorized (with a password) to log in on the company’s behalf, add the other contacts, and keep them up to date. If the contact changes, a new person registers/authenticates — no need to re-enter the company data.
Legal representative
(Rappresentante legale) No platform account needed. Their role in the internship is to sign the Internship Agreement (Convenzione).
Company tutor
(Tutor aziendale) No platform account needed. Supports the student day to day, and signs the training project and the end-of-internship documents. Details in the “Guidelines for carrying out internships” (in “Attachments”).
Five steps, in order
Done by the person who will be your company contact. Register here: esse3.unitn.it registration. Have these ready:
• Company: country, VAT/tax number, legal name, economic activity classification code (ATECO, NACE, etc.), number of employees, registered and operational address, and a Registered Electronic Mail address.
• Legal representative: full name, date and place of birth, phone, and role in the company.
• Company contact (the person registering): full name, date and place of birth, tax code, phone, position and department, and a personal work email — e.g. name.surname@company.com.
After you submit, you’ll get a confirmation email. The University checks the registration within 5 working days, then emails you how to confirm your identity (electronic identification — SPID, eIDAS, EUDI, etc.) and set your password.
Two things that block registrations
The contact’s email must be personal — generic addresses (info@…, hr@…) are rejected. And the company contact cannot be the intern (one registered contact per company).
Only registered companies can do this, and only the company contact.
• Review the sample agreement (in “Attachments” on the platform), then print, complete and sign the acceptance letter, choosing the template for your organization type (private or public). Any questionnaire in the letter is filled in only by the people named in it.
• Log in, check your company details and the legal representative’s name are correct, then choose “Request New Agreement” and upload the signed acceptance letter on the platform — not by email or Registered Electronic Mail.
• Within 10 working days, UniTrento sends the final Agreement (signed with a qualified electronic signature, PAdES) to your company’s Registered Electronic Mail address.
• Your legal representative (or a delegate) signs it too with a qualified electronic signature (PAdES or CAdES, named and qualified) and returns it by Registered Electronic Mail.
• Within about 4–5 working days, after the signatures are checked, the Agreement becomes active (you can confirm under Area Azienda → Convenzioni).
Possible only once the Agreement is active. Entered by the company contact:
• Log in and check the internship location is listed and the company tutor is added and linked to it.
• Choose “Start internship directly” (Avvio stage diretto) and save. You’ll need the intern’s student ID (matricola) and the internship details. Put any remote-working arrangement (with the address where the work is done) and any agreed travel in the “internship activities” field.
• You can save as a draft and resume later.
Enter the project at least 15 days before the planned start. The intern then accepts it and selects their university supervisor, who approves it; the company tutor receives an automatic confirmation from esse3comunicazioni@unitn.it. The intern collects the signatures and sends the documents to the University, and you receive a signed copy.
Any change to the signed Training Project must be agreed by the intern, company tutor and university tutor, and reported promptly to the University by the intern. The most common cases:
• change of daily hours;
• change of the project’s end date;
• travel not already in the project;
• change of the activities;
• change of the learning objectives;
• replacing the company tutor — if the new tutor isn’t on the platform yet, the company contact must register them on Esse3 first.
At the end of an internship with a current student, the company tutor is asked to:
• complete an end-of-internship evaluation — the office emails it a few days before the internship ends;
• complete the documentation that attests the internship actually took place.
The intern also completes their own end-of-internship evaluation.
